# Reports Overview

> Subscribe to scheduled report emails, choose a cadence, and manage recipients from the Reports area.

## Audience

* Workspace admins who want recurring reports delivered by email
* Team members who want to understand what Reports offers and how to access it

## Prerequisites

* Your workspace is on the top plan tier (the same tier that unlocks Analytics)
* Workspace admin access to create or manage subscriptions
* One or more email addresses to receive the reports

## What Reports is

**Reports** is a new area of Voqo, found under **Insights** in the sidebar. It gives your workspace a single place to see the report types available to you and to **subscribe** to have them delivered by email on a schedule you choose.

Each subscription answers three questions: **which report** you want, **how often** it should arrive, and **who** receives it. Once a subscription is active, Voqo sends the report to your chosen recipients automatically — no one has to remember to run anything.

## How to get to Reports

1. Open the sidebar and find the **Insights** section.
2. Select **Reports**.
3. You will see the **report catalog** — the list of report types your workspace can subscribe to, along with any subscriptions you already have.

If your workspace is on the top plan tier, Reports appears in the sidebar ready to use. If you do not see it, check the troubleshooting note below.

## How to subscribe to a report

Creating a subscription takes a few moments:

1. On the **Reports** page, choose the **report type** you want to receive.
2. Set the **cadence** — how often the report is delivered. You can choose **daily** or **weekly**.
3. Add one or more **recipient email addresses**. Recipients do not have to be Voqo users — you can send to any address you like, such as a shared compliance or management mailbox.
4. Save the subscription. It becomes **active** straight away, and the first email arrives on the next scheduled send.

You can **edit** a subscription at any time to change its cadence or recipients, or **disable** it to pause delivery without losing your settings.

## Preview a report before you schedule it

Before you commit to a schedule, you can send yourself a **one-off preview** so you know exactly what will land in your recipients' inboxes.

1. In the **New subscription** (or **Edit subscription**) window, choose your report and cadence and enter your recipients as usual.
2. Select **Send preview**.
3. Voqo sends a single copy of the report — built from the real data in your workspace, exactly as a scheduled send would produce it — to the **recipient addresses you have entered**.

The preview does **not** create or change a subscription. It is simply a test send, so you can check the content, formatting, and that the right people receive it before you save the schedule. Send as many previews as you like; nothing is scheduled until you save.

Previewing is limited to **workspace admins**, the same as creating and editing subscriptions.

## The Opt-out report

The **Opt-out report** is a recurring email digest of your SMS opt-outs and Do-Not-Contact changes. It gives your compliance team an automatic, dated record of who has opted out and how their consent has changed — without anyone having to open the app and export it by hand each reporting period.

### What the digest contains

Each digest email includes:

* A **summary** in the email body — the total number of opt-outs and consent changes, plus your most recent opt-outs at a glance.
* The **full opt-out list and consent audit trail attached as a CSV**. This is the same export you get from the SMS Consent screen, so it opens cleanly in Excel, Google Sheets, or any compliance tool.

For very large lists, the email cannot carry the attachment, so it instead includes a **Download the full list** button that takes you to the app to download the complete file. The summary always appears in the body either way.

### Download the list on demand

You do not have to wait for the next scheduled digest to get the current list. On the **Opt-out report card** in the Reports page, use the **Download** control to export the list immediately in either **CSV** or **JSON**. This gives you the exact same opt-out list and consent trail, right now.

The Download control appears **only on the Opt-out report card** — it is specific to this report.

### Who sets it up

**Workspace admins** schedule the opt-out digest like any other report — choose a **daily** or **weekly** cadence and add the recipients. Most teams point it at a shared **compliance mailbox** so the record lands automatically with the people who need it.

## The Campaign results report

The **Campaign results report** is a recurring digest of how your call and SMS campaigns performed over the reporting period. Instead of opening each campaign individually, you get a consolidated view of dials, conversations, voicemail, and SMS sends for every active campaign — automatically delivered to your inbox on the schedule you choose.

### What the digest contains

The digest breaks activity into two channels.

**Calls**

For each call campaign that had activity in the period:

* **Dials** — the total number of calls placed.
* **Conversations** — calls where the contact picked up and spoke with your agent.
* **Voicemail** — calls where the agent left a voicemail.
* **Failed** — calls that could not be connected.

**SMS**

For each SMS campaign that had activity in the period:

* **Sent** — messages delivered to recipients.
* **Replied** — distinct phone numbers that sent a reply (excluding automatic consent keywords such as STOP and START).
* **Failed** — messages that could not be delivered.

If there was no activity in the period, the digest still arrives and notes that there was nothing to report.

For very large datasets, the attachment is replaced with a **Download the full list** button that takes you directly to the Reports page to download the CSV from there.

### How Campaign results differ from Actionable Replies

The **Campaign results** digest counts all replies that are not a consent keyword — it does not classify them as actionable or non-actionable. **Actionable Replies** is a separate AI-powered feature that reads each reply and flags the ones that need a response. If you want reply classification, use Actionable Replies; if you want a quick count of who replied to each campaign this period, Campaign results is the right report.

### Download the list on demand

You do not have to wait for the next scheduled digest to get the current data. On the **Campaign results card** in the Reports page you have two ways to export:

* **Download last 7 days** exports every call and SMS campaign's activity from the past week as a CSV — a row per campaign per channel, with the same columns as the digest.
* **Select SMS campaigns** lets you focus on specific SMS campaigns. Pick one or more campaigns from the list, and Voqo shows their **all-time** results — **sent**, **replied**, and **failed** — right there on the page. Select **Download selected** to export just those campaigns as a CSV.

The on-page results and the **Download selected** export cover each chosen campaign's **full lifetime**, not just the last 7 days — so you can pull the complete performance of a campaign no matter when it ran. A campaign you have picked always appears, even if it has not sent anything yet, so you can confirm your selection at a glance.

Open any export in Excel or Google Sheets to filter, sort, or share with your team.

### Who sets it up

**Workspace admins** schedule the Campaign results digest like any other report — choose a **daily** or **weekly** cadence and add the recipients. Most teams point it at a management or sales-leadership mailbox so campaign performance lands automatically each week.

## Who can manage subscriptions

**Only workspace admins can create, edit, or disable report subscriptions.**

Other members on the top plan tier can still open the Reports page and see which subscriptions exist, but the controls to change them are reserved for admins. This keeps recurring emails — which go out to whole mailboxes on a schedule — under the control of the people who manage your workspace settings.

## What "Coming soon" report types mean

Some report types appear in the catalog marked **Coming soon**. These are reports Voqo is preparing to release. You can see that they are on the way, but you cannot subscribe to them yet.

When a **Coming soon** report becomes available, the label is removed and you will be able to subscribe to it like any other report. There is nothing you need to do in the meantime.

## Troubleshooting

### I do not see Reports in the sidebar

* Confirm your workspace is on the **top plan tier**. Reports is available on the same tier as Analytics, so if you can see Analytics but not Reports, contact support.
* If you are not an admin, you can still view Reports once your workspace is on the right plan — but you will not see the controls to create or edit subscriptions.

### I cannot create or edit a subscription

* Creating and editing subscriptions is limited to **workspace admins**. Ask a workspace admin to make the change, or to grant you admin access.

### I do not see a Download button

* The **Opt-out** card has a **Download** control (CSV or JSON), and the **Campaign results** card has a **Download last 7 days** button plus an SMS-campaign picker with **Download selected** — these appear when those reports are available in your workspace. They do not appear on **Coming soon** reports.
* **Scheduling** the digest (setting a cadence and recipients) is separate from downloading and is limited to **workspace admins**.

### The SMS campaign picker is empty or a campaign is missing

* The picker lists your workspace's **SMS campaigns**. If it is empty, you have not created any SMS campaigns yet.
* Use the search box in the picker to narrow a long list by campaign name.
* A selected campaign always shows a results row — with zeros if it has not sent anything yet — so an all-zero row means that campaign simply has no activity, not that anything is broken.

### There is no attachment on my digest

* When the opt-out list is very large, the email cannot carry it as an attachment. In that case the digest includes a **Download the full list** button instead — use it to download the complete file from the app. The summary still appears in the email body.

### What is in the CSV

* The CSV contains your **full opt-out list and the consent audit trail** — the same export produced by the SMS Consent screen. It is the complete, dated record of opt-outs and consent changes for your workspace.

### A report has not arrived

* If you sent a **preview**, remember it goes only to the recipients entered in the subscription window at that moment — check those addresses first.
* Check that the subscription is **enabled**, not paused.
* Confirm the **recipient email addresses** are correct and have no typos.
* Check spam or junk folders, and ask your email provider to allow messages from Voqo.
* Remember the cadence you chose — a **weekly** report only arrives once per week, so allow a full cycle before treating it as missing.

If a report still has not arrived after a full cadence cycle, or Reports is missing from a top-tier workspace, contact <a href="mailto:support@voqo.ai?subject=Reports">support</a> with your workspace name, the report type, and the cadence you chose.
